Merlin Spotlight: Web App Updates
As you know, the Merlin Software platform is regularly updated with new features, as well as enhancements made to existing features and functionality. These enhancements are released throughout the year. After the most recent general server update in April 2023, we thought we’d share some of these improvements and Web App updates with you.

Contract Web App
Significant enhancements have been made to the Contract Web App launched several months ago. These enhancements remove the need for users to apply complex thinking and decision-making regarding your business rules.
Now the software makes these decisions for the user based on your business rules. Most of the work has gone into the back-end setups, which dictate how the front end will work and decide for the user what is permitted based on the rules you set up in the system.
Housekeeper Mobile Web App
This Web App is now simple and slick after the latest updates.
Again, using setups and logic, Merlin determines what clean type is required for each unit and what housekeeper or maintenance checks are applicable. So, whether it is a daily light clean, a complete clean for a departing guest, or an uplift to an unoccupied unit in readiness for an arrival today, the system knows what to do without any input from a User apart from the allocation of units to housekeepers to clean.
Housekeepers can run through checklists, flag exceptions, and create maintenance tasks where required to have things fixed. They can update the unit status to “cleaned” once it has been cleaned.
Member Services Web App
Merlin is member-centric software. Yes, you can capture leads, enter contracts and make reservations, etc., in Merlin, but at the end of the day, you are dealing with people – ultimately, your members.
We do not emphasise lead numbers, contract codes, etc., to find people in your database.
While we cater for these “codes”, which come from the old systems of new clients, we find this so old-fashioned and reminiscent of last-century DOS-based systems.
It’s 2023, folks! Take the CAPS lock off and focus on people. They have names. They are not numbers.
With this customer or member-centric approach in mind, our Member Services Web App (MSWA) is growing, iteration by iteration. Our vision is for the MSWA to be the core platform for your Customer Relation Management. And we are working hard to make this happen. Our MSWA is getting ready for beta testing by our clients.
Parent-Child Names
What is this? You know how you have Sally Smith, and then she becomes a member? And because she purchases with her husband, John, he is added to the contract as another buyer. Of course, John gets his own name in Merlin, as does Sally, but when transacting, you transact via Sally’s name. She is the primary name. John is just an appendage!
Now with parent-child names, you can do the following: You have names in Merlin for Sally and John. They decide to purchase together. So you can create a parent name for Sally and John. Something like “Sally Smith & John Smith”. It has a unique name ID, with Sally and John as child names to this parent name.
Now when communicating with this member, you address one name, “Sally Smith & John Smith”.
While the parent-child names feature has existed for some time now as the way to go for new clients, existing clients still need to turn on this feature. Therefore, we have written the code to convert existing clients to the parent-child naming convention should they wish to use this new naming method.
